SOLUTION EXAMPLES

See how a controlled solution comes together.

Two illustrative solution examples show the problem, the AI workforce, the controls and the evidence a useful solution should produce.

Illustrative examples. These are generic solution designs, not customer projects. Outcomes describe the intended deliverables; no measured results or savings are claimed.

ILLUSTRATIVE PROJECT 01 · PROCUREMENT & DOCUMENTS

A clearer path from supplier documents to an approval-ready file.

An illustrative workflow for an organization that receives supplier forms, certificates and supporting evidence through email and shared folders.

01

The business problem

The procurement team manually checks each document, copies information into a tracking sheet and follows up on missing evidence. Different reviewers may interpret the same requirement differently, and incomplete files move between teams without a clear next action.

02

Existing cost / delay

Time is spent opening attachments, checking dates, reconciling company details and chasing missing documents. A real project would establish the baseline using a sample of completed files, recording handling time, rework and time spent waiting for approvals.

03

AI workforce design

The Business Analyst Agent defines requirements and acceptance criteria. The Document Agent extracts approved supplier-document information. The Research Agent checks approved reference evidence where required. An Operations Agent assembles the proposed supplier package. QA independently checks completeness and correctness; Security checks access conditions where applicable. Human Authority records approval for consequential onboarding or sensitive changes before the Integration Agent performs the specifically approved write. The Audit Agent or evidence layer records material handoffs, checks, decisions and the result throughout. This illustrative chain does not require every role in every engagement; preparatory roles may be combined, while critical checks and business approval remain separate.

04

Controls

The system reads only approved onboarding material. Extracted fields retain links to their sources. Low-confidence results and expired documents are flagged for review. Agents cannot approve a supplier, change bank details or update vendor master data without explicit authorization.

05

Illustrative outcome

The intended output is one review-ready supplier file: structured company information, a missing-document checklist, source references and clearly assigned next steps. Any reduction in processing time or rework would be measured during validation; no customer result or saving is claimed here.

06

Evidence to retain

Evidence is retained throughout the work, including failed checks, held actions, returned work and unresolved exceptions. Original document references, extraction checks, requirement versions, review findings and the procurement owner’s recorded decision. A verified case study would add the measurement period, observed result and permission to share the story.

ILLUSTRATIVE PROJECT 02 · REPORTING & INTERNAL WORKFLOWS

Turn scattered reporting inputs into a pack your team can review.

An illustrative workflow for a business that combines spreadsheets and operational updates into a recurring management report.

Illustrative photograph of business professionals reviewing documents together.
01

The business problem

Each reporting cycle starts with requests for spreadsheets and status updates. Staff reconcile definitions, copy figures between files and write commentary under time pressure. Reviewers need to understand where a number came from and which assumptions affect it.

02

Existing cost / delay

Manual effort accumulates in collection, reconciliation, calculation and document assembly. Before implementation, the team would record preparation effort, missing inputs, corrections and review delays across representative reporting cycles.

03

AI workforce design

A Business Analyst Agent defines the report and agreed measures. A Research Agent gathers approved inputs from spreadsheets, databases and operational systems. An Operations Agent assembles the draft. QA independently checks calculations, Security verifies access, and an Audit Agent prepares the evidence pack for the report owner’s approval.

04

Controls

Source data is read-only. Calculations follow approved definitions. Commentary distinguishes supported observations from assumptions. Material variances and incomplete inputs are escalated, and the finished report cannot be distributed without the report owner’s approval.

05

Illustrative outcome

The intended output is a consistent draft report with linked inputs, checked calculations and a visible exception list. The owner can focus on interpretation and approval. Improvements in preparation time and accuracy remain targets until measured in a real deployment.

06

Evidence to retain

Evidence is retained throughout the work, including failed checks, held actions, returned work and unresolved exceptions. Input versions, calculation definitions, validation results, commentary references, exception resolutions and the final approval. Verified results would be reported with the baseline, measurement window and limitations.
